The Senior Operations Manager, JLABS @ NYC is responsible for leading all aspects of the facility and overall site management for the JLABS facilities in New York City including accountability for regulatory compliance, security, budget development and management, customer relationship management and administration of agreements and amendments. In addition, this role is responsible for providing leadership, setting expectations, and managing the supplier relationships that assist with daily operations. Given this facility is a standalone operation, this individual is the senior and only J&J operations person in the area to manage this facility, both from a strategic operation and an emergency response perspective. This position is on call 24/7.

The physical operation of the incubator facility is the most critical risk aspect of the JLABS Incubator business because of the Environmental Health and Safety, Intellectual Property and security risks involved in such an operation. It is also of upmost importance to protecting the J&J brand given the scope of supporting up to 50 different legal entities on site. Given the importance of the physical structure and the management of compliance to EH&S regulations and IP requirements, this role will deeply collaborate with internal Finance, Business Development, Marketing, Legal, EH&S, Facilities & Operations, Security, Risk Management and the leadership team to continuously assess the operating and business model for JLABS and its resident licensees. This role is expected to develop, recommend, and implement business model improvements that are correlated with facilities and operations.

This Senior Operations Manager, JLABS @ NYC will be responsible for the oversight of existing and new JLABS research laboratories on the East Coast of the United States. S/he will be responsible for ensuring the JLABS program is properly executed and that JLABS is compliant to the Corporate Risk Mitigation Plan. The individual will provide leadership, expertise and operational program development direction to support existing labs in addition to supporting expansion activities for future JLABS locations on the East Coast of the United States. The individual will lead internal and external collaboration efforts to ensure compliance while sustaining a capital efficient business model able that supports early-stage life science, medical device, consumer and digital health companies.

Responsibilities:

• The Senior Operations Manager, JLABS @ NYC will implement the NYC operating model which includes onboarding activities (pre-move-in, move in), ongoing facilities/equipment/EH&S/security management, overall laboratory management and off-boarding activities for both JLABS and resident companies.

• You will partner closely with multiple J&J teams, stakeholders, and suppliers to manage all facets of the service delivery model including but not limited to, day to day facility operations, strategic facility planning, compliance, facility & laboratory equipment maintenance and purchases, all soft services (mailroom, housekeeping, conference room management, shipping & receiving, etc.), security, IT services, and EH&S. This is accomplished through applying proven leadership abilities, experience, and knowledge while strictly adhering to regulatory/compliance procedures and requirements.

• You will be the only person onsite responsible to represents the company on all regulatory inspections, enforcement actions, citations, informal conferences and settlement agreements.

• In partnership with Global JLABS EH&S, you will assess the impact of environmental, health and safety laws and regulations as they affect the company and its operations. Tracks new regulations as they develop. Formulates and implements policies, advises senior management on the compliance status, costs and technical improvements needed to achieve compliance.

• You will directly manage a team of 3 to 5 full-time on-site contractors for to ensure the attainment of the company’s aims relative to environmental, health and safety outcomes, security, facilities & maintenance, security, laboratory management, regulatory compliance and customer service.

• The Senior Operations Manager, JLABS @ NYC will develop and implement Standard Operating Procedures to facilitate execution of the Operational and Environmental, Health and Safety Management Plans.

• You will be responsible for the implementation of the Corporate Risk Mitigation Plan, which includes the coordination of periodic business audits and follow-up plans for corrective action and continuous improvement.

• You will be responsible for planning and implementing the response to any major threat to life safety, security or property by continuously identifying potential risks, prepare contingency and recovery plans, and manage resources. You may be the only J&J employee on site during times of crisis to maintain safety, compliance and ensure the site remains operational and customer needs are met.

• You will serve as the JLABS representative in their region on the J&J Crisis Management Team (CMT) and ensure JLABS is accounted for and represented within the larger J&J organization and that information is effectively communicated with the JLABS Regional and Global Teams as well as to the JLABS Residents

• You will partner with key stakeholders within the organization (EHS, Security, Finance and Marketing) to improve, develop, monitor, implement and approve all Standard Operating Procedures, Guidelines, Policies and Trainings

• You will select and provide clear direction for service providers on expectations, develop and implement clear & achievable service levels with remediation and escalation procedures for disputes and oversee all contractor delivered programs to ensure adherence to J&J standards and policies.

• You will build relationships with and manage the process of recruiting and onboarding new potential portfolio companies and own and manage the process, approvals and closing

• S/he will lead local site audits for compliance with applicable regulatory requirements and J&J operating standards. S/he will design and document all audit plans and prepare all reports according to established policies and procedures and monitor all corrective actions according to the business and regulatory standards. Reviews internal controls, report results, and makes recommendations for process improvements.

• You will be directly accountable for developing and managing the operational expense budget, driving cost reductions, cost efficiencies, and optimized contractor management.

• You will engage potential industry partners to identify new opportunities for collaboration that expand program capabilities and maintain leading edge.

• You will serve as the senior operations leader onsite to manage emergency response to situations in the lab and to liaise with external stakeholders such as fire and police departments, regulatory agencies, etc.

• You will develop and sustain business relationships with companies residing in JLABS including gaining and maintaining the respect of the life science scientific community and is responsible for customer relationship management and ensuring positive customer workplace experiences during their residence in JLABS.

• You will continuously solicit stakeholder feedback on the program and appropriately leverage the feedback to establish goals, direction, and a vision to improve or expand the program with a focus on cost savings and scalability.

• You will be responsible to increase the JLABS network on the east Coast of the United States by building relationships with healthcare & biotechnology agencies to leverage opportunities for JLABS operations.

• You will be responsible to assess and determine business opportunities for JLABS across global incubator associations, such as the International Business Innovation Association.
• The Senior Operations Manager, JLABS @ NYC will direct and coordinate construction activities to ensure project delivers business & customer value, for agreed scope, on schedule, within budget, and at a defined quality level including managing issues, decisions & risks, and escalation to sponsors as needed.

• In this role, the Senior Operations Manager, JLABS @ NYC is on call 24/7 and will need to be trained in media relations in the event of an emergency.

Additional Responsibilities:

• You are responsible for ensuring that suppliers and JLABS resident companies follow all Johnson & Johnson Innovation, JLABS policies and procedures and contractor safety guidelines and partners with the New York Genome Center, and J&J Facilities and EH&S Management to ensure JLABS and resident companies are in compliance with all local, state and federal regulations including FDA, EPA, OSHA, and DEA. You will provide leadership for internal and external inspections.

• You will co-chair the JLABS Site Safety Committees on the East Coast of the United States.

• You will be responsible for presenting all regional audit findings to JLABS Management team, J&J Innovation Leadership and other corporate stakeholders as required.

• You will continuously monitor and evaluate the Operational performance of the JLABS locations in New York City and all future JLABS facilities in the region in order to identify opportunities for improvements and compliance risks.

• You will collaborate with the JLABS Team and JLABS Customers to identify new service and product offerings to help build the JLABS brand and benefits to better serve our customers in order to accelerate their innovations and product development.

• You will ensure that all JLABS Licensee services and support processes meets JLABS missions and goals.

• You will serve as the Global Project Manager on a minimum of 2 operational activities by working across a global cross functional team within JLABS (operations, marketing, communications, leadership) and with others in the J&J organization to own the global responsibility for an operations function: Security, EFM, Risk Management, EHS, Cell Analysis, 3-D Printing, DNA Sequencing, Liquid Chromatography, etc…

• You will increase revenue for the JLABS business by selling vendor sponsorships and building a network of external providers that help deliver benefits that reduce the cost of doing business of our JLABS resident companies.

• You will have overall accountability for ensuring customer satisfaction through the effective management of the customer service function and platform. Accountable for planning, organizing, and directing staff in providing timely responses to customer inquiries and resolving customer issues.

• You will source and implement future life science technology capabilities through interaction and validation with business partners and JLABS Resident scientists to ensure JLABS maintains the leading edge in scientific core capabilities.

Qualifications

• BS/BA Science, Engineering or related degree

• 8+ years of combined experience in 3 or more areas in life science R&D (laboratory operations/management, scientific research, customer relations, facilities management or environmental health and safety program management) is required
• Demonstrated experience managing others is preferred
• At least 5 years of experience overseeing EH&S programs in a life science R&D laboratory is preferred
• Demonstrated experience managing a life science research laboratory is required.
• Broad understanding of facilities management is preferred
• Broad understanding of life sciences research equipment is required.
• Demonstrated experience in managing supplier relationships is required.
• Demonstrated experience developing, implementing Standard Operating Procedures, Guidelines and Policies for life science R&D laboratories is required.
• Broad understanding of life science research equipment is required.
• Expertise in contract management and customer relationship management is preferred.
• Experience with customer service management in a lab setting is preferred.
• Successful experience in a fast-paced entrepreneurial lab environment
• Possesses strong analytical and quantitative modeling skills
