We are seeking a dedicated and detail-oriented Accounting Administrator who will play a crucial role in supporting the financial operations, including accounts payable, accounts receivable, and general accounting tasks. The ideal candidate will possess strong organizational skills, a solid understanding of accounting principles, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
– Invoicing: Generate and issue invoices accurately and promptly in accordance with established billing schedules.
– Purchase Orders: Create and process purchase orders for goods and services, verifying details such as quantities, prices, and vendor information.
– Accounts Payable/Receivable: Monitor accounts receivable balances, resolve payment discrepancies, and process vendor invoices and reimbursements by verifying accuracy, obtaining approvals, and preparing payments.
– Payment Processing: Prepare and process payments via check, EFT, or wire transfer. Reconcile payment records with bank statements and prepare bank deposits.
– Inventory Management: Maintain accurate records of inventory and track asset depreciation. Organize and coordinate annual inventory counts, developing procedures and schedules to ensure accuracy.
– Financial Record Keeping: Maintain accurate and up-to-date financial records using accounting software. Record all financial transactions and coordinate with external accountants for tax filings and annual financial statements compilation.
– Reporting: Assist in preparing financial reports, including accounts receivable aging, accounts payable aging, and cash flow projections, for management review.
Requirements:
– Education and experience: Post-secondary education in Accounting, Finance, Business Administration, or related field with a minimum of 5 years of bookkeeping experience.
– Communication Skills: Excellent communication and interpersonal skills for effective interaction with vendors, customers, and team members.
– Independence: Ability to work independently in a fast-paced environment.
– Analytical Skills: Detail-oriented with strong analytical and organizational skills.
– Time Management: Ability to multi-task and prioritize conflicting demands effectively under time constraints.
– Computer Proficiency: Proficiency in Microsoft Office Suite.
