Job Purpose

The Sr Office & EHS Coordinator Benelux (Dilbeek based) will be responsible for effective administration, operation, maintenance and support of projects within the country office location, including optimizing of processes and ensuring appropriate system and data quality controls are in place to meet security polices and standards.
Special focus for this position: Environmental Management and Occupational Health and Safety.

Key Responsibilities

  • Assuring friendly and competent support for all external visitors as well as for internal and external colleagues
  • Managing front office and postal services
  • Coordinating local projects as per regional plan
  • Coordinating environmental, health and safety risk identification and relevant control measure implementation based on regulatory requirement and Edwards EHS Standards
  • Working on EHS initiatives, monitoring of compliance with regulations and internal standards, investigations and continuous improvement
  • Supporting new lease negotiations and administration of the contract
  • Coordinating local communications and managing TV screens (where applicable)
  • Overseeing local vendors and service suppliers (cleaning, maintenance, flowers etc.), performing controls on the quality of work
  • Supporting local event organization including coordination of catering and meeting room setup
  • Supporting onboarding of new employees and updating seating plan
  • Local procurement and invoice handling activities by ordering office supplies and furniture
  • Ordering and invoice handling of IT supplies and offer basic IT support in absence of local IT staff
  • Managing account with mobile operators and supporting employees in cell phone related issues
  • Supporting employees in terms of the overall fleet administration (where applicable)

Education, Experience and Skills

  • Bachelor’s degree and 2 years of related experience required
  • Experience with vendor management required
  • Fluent English & Dutch required, French highly preferred
  • Experience with Health & Safety and Environmental Management System (EMS) required, Preventie Adviseur 2 (prevention advisor) certification a big advantage (or willingness to be trained and certified)
  • Good computer skills in usage of MS Office Suite and related project management systems
  • Good written and verbal communication skills including relationship management skills
  • Good problem solving and critical thinking skills with ability to adapt to change
  • Great problem-solving, organizational, analytical and critical thinking skills
  • Strict attention to detail and customer focus
  • Ability to interact independently and professionally with all organizational levels
  • Ability to manage competing priorities in a fast-paced environment and to work autonomously without close supervision, ability to work under pressure
  • Ability to work in a team environment, including immediate supervisor and other team members in the section or group
