(Senior) Administration Officer

Major Responsibilities:

Ensure smooth operation of office facilities:

  • Supports company smooth operations by maintaining office systems
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
  • Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing and supply requisitions, and assigning and monitoring clerical functions.
  • Manage contract and price negotiations with vendors, service providers and leasing company
  • Provides historical reference by defining procedures for data and record retention, protection, retrieval, transfer, and disposal of records.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Achieves financial objectives by preparing annual administrative budget, scheduling expenditures, analyzing variances, and initiating corrective actions.

Administrative support to medical teams:

  • Support commercialization teams for management of contract and payment system processes, which includes handling service contract, vender creation, raise/close purchases order in Ariba/Oracle system
  • Support liaison with vendors and external partners for logistics of events
  • Support scheduling and co-ordination of team meetings/activities
  • Provide logistics support to team for overseas travel and accommodation arrangement, and support Concur reports when needed
  • Consolidation of report to relevant stakeholders on a quarterly basis
  • Retain and manage records of documents as per company record retention policy

Administrative support to Market Access and External Affairs team:

  • Support team management of contract and payment system processes, which includes handling service contract, vender creation, raise/close purchases order in Ariba/Oracle system
  • Administrative support to patient support program running with 3rd party partners, including monthly reconciliation of program information for company reporting
  • Support scheduling and co-ordination of team meetings/activities
  • Retain and manage records of documents as per company record retention policy
