Job Description

Under the supervision of the Assistant Director of Operations, this position will be responsible for supporting two schools in the Social Sciences; the School of Social Transformation (70%) and the School of Transborder Studies (30%), by providing direct support to research investigators primarily in the area of post-award management with some pre-award/proposal submission responsibilities at times. Post-Award management will include supporting our ASU Investigators with sponsored projects and monies, unit level awarding of and monitoring funds, and internal research and project accounts such as IIA and internal grants from other entities within the university.

This is an exciting opportunity to support meaningful programs contributing to important social change in the 21st century. You’ll work directly with our faculty and school staff in a team-oriented environment. This position will include expenditure monitoring, award change actions, forecasting, and financial transactions. This position will need to ensure ongoing compliance with all applicable federal, state, sponsoring agency, university, and ABOR standards, regulations, and requirements. The Research Advancement Administrator will also serve as a liaison for faculty in the Schools of Social Transformation and Transborder Studies and will work closely with, the Office of Research and Sponsored Projects Administration (ORSPA) and Dean’s office at The College of Liberal Arts and Sciences.

Working Environment

Activities are primarily performed in a regular, climate-controlled office setting subject to extended periods of sitting. Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching, and lifting up to 20 pounds. Ability to clearly communicate verbally in English, read, write, see, and hear to perform essential duties. Ability to work both independently or within a complex structured team. Normally receives no instructions on routine work and general instructions on new assignments with a review of completed tasks. Exercises judgment within generally defined practices & policies in selecting methods & techniques for obtaining solutions.

Minimum Qualifications

Bachelor’s degree in a related field. Three years of experience in a field appropriate to the area/unit of assignment OR Any equivalent combination of education and/or experience from which comparable knowledge, skill and abilities have been achieved.

Desired Qualifications

  • Demonstrated knowledge of sponsored projects, Uniform Guidance, principles, practices, procedures in the field of program, project, or initiative expertise and ability to apply strong knowledge of federal and state regulations governing the management of grants and contracts.
  • Demonstrated knowledge of grants and contracts or similarly complex documents within a university environment.
  • Experience in developing detailed and complex budgets.
  • Experience in proposal preparation and processing.
  • Experience using ASU systems such as ERA, Workday, and Analytics Reporting.
  • Experience preparing detailed financial reconciliations and expense tracking reports for sponsored grant and contract projects.
  • Evidence of effective communication and organizational skills and strength in establishing and maintaining effective working relationships.
  • Experience in working effectively in an environment subject to regularly changing priorities and strict deadlines requiring regular follow-through of activities within assigned work.
  • Experience in financial transaction and accountancy capabilities, including e.g., processing payments against contracts, working with vendors and suppliers, understanding procurement processes and policies, and travel.
  • Demonstrated knowledge of computer systems, specifically MS Office applications and/or operations.

Essential Duties

  • Works collaboratively with the College level RAM to development of accurate budgets on proposal submissions.
  • Maintains reconciliation spreadsheets for unit faculty for sponsored projects purposes; and verifies project cost-share commitments; monthly account monitoring and reconciling; cost transfers.
  • Assists ASU research investigators in preparation and routing of internal sponsored projects actions and forms for award change, reporting, and monitoring.
  • Assists ASU research investigators with the preparation of renewal proposals and progress reports for grant agencies.
  • Assists with all areas of award management, including but not limited to: assistance in preparing administrative post-award management including at-risk requests, pre-award spending, re-budgets, no-cost extensions, and all other award change actions.
  • Effort Reporting; serves as a resource to research investigators and departmental business staff on sponsor policies and regulations regarding the administration of award funds; monitors compliance issues and assists in resolution; assist with account closeout.
  • Manages awarded projects in accordance with University and sponsor regulations; prepares standard and non-standard accounting reports for the ASU research investigators; identifies and rectifies errors and omissions to reduce opportunities for discrepancies.
  • Assists with post-submission action items requested by the sponsor such as Just in Time requests, revised budgets, significant scope of work modifications, additional certifications, etc.
  • Assists faculty with pre- and post-award grants and contracts processes by providing information, guidance, and interpretation of complex federal and state regulations governing the management of grants and contracts.
  • Works with departmental financial/HR staff to review the appropriateness of financial and HR transactions posted to grant accounts.
  • Acts as an administrative resource to ASU research investigators and ORSPA staff to resolve and correct discrepancies in fund management to ensure timely collection of revenue through an accurate presentation of invoices.
  • Maintains all applicable project records and files.
  • Provides unit faculty with administrative guidance regarding sponsored projects submissions; problem-solving assistance; and serves as a resource for sponsor policy and guideline interpretation.
  • Provides pre-award proposal submission support as needed backup for pre-award Research Advancement Staff.
  • Performs other duties as assigned.

Salary Range

$48,000 – $59,000 per year; DOE
